Make field records usable by the office
Information collected on a job is useful only if the next team can find and interpret it. Design the record around the handoff as well as the person entering it.

Start with the next use of the record
A photo, note or signature may support a customer update, a quality check or an invoice. Ask the receiving team what context makes that evidence usable. Identify the job, event and person associated with the record. Keep required fields purposeful so field staff are not forced to enter information that nobody uses.
Account for the working environment
Observe how people record information where the work happens. Consider interrupted connectivity, small screens and limited time to enter a long note. If offline capture is needed, define how pending records and upload failures appear. A person should be able to tell whether a record is safely stored or still waiting to reach the office.
Handle corrections without losing context
People select the wrong job or discover a mistake after submission. Give them a controlled way to correct it while preserving the information needed to understand the change. Choose permissions based on responsibility. An internal application may help when generic forms cannot connect the handoff, but start by agreeing what a complete, usable field record contains.
A practical check
- Ask the office which evidence it needs and why.
- Check capture and upload behavior in the real environment.
- Define correction permissions and record history.
